How do I get started / how long does setup take?

About 15 minutes to your first quote. Add your company name and a couple of services with your rates, add one client, and build a quote. You don't need to set everything up first — the price book fills in as you go, and you can change any rate later.

How do I import my clients from Jobber / Housecall Pro / a spreadsheet?

Export your client list to CSV from your old tool, then in Crewplate go to Clients → Import. It reads common column names automatically (name, phone, email, address), and skips duplicates. Takes a couple of minutes. If the import looks wrong, don't re-run it — send us the file and we'll tell you what to fix.

I forgot my password.

Tap Forgot password? on the sign-in screen and a reset link goes to your email. If you're locked out completely — email changed, phone gone — write us and we'll verify you and sort out account recovery.

Can my customer sign a quote?

Yes. Hand them your phone and they sign with a finger — the signature, their name, and the timestamp save onto the quote. They can also approve it online from their customer portal link without you being there. Accepting a quote automatically creates the job and a draft invoice.

How do quotes, jobs, and invoices connect?

Quote accepted → job on the schedule → invoice drafted, all by itself. You don't retype anything. The invoice starts as a draft so you can check it before sending.

Can my customers pay online?

Yes. Connect your own Stripe account in Settings → Billing, and invoices get a "Pay online" link for card or bank. The money goes to your Stripe account, not ours. Processing fees are shown in the app. Check and cash still work exactly as before.

What is the customer portal?

Every client gets a private link — no password — where they can see their quotes and invoices, approve a quote, pay online, and see job photos. You control what shows: live prices or "request a price," which trades appear, and your own welcome message. Find it on the client's page.

Do my techs get their own logins? Can I control what they see?

Yes. Invite them from Team, and each person gets a role — Owner, Admin, Office, Crew lead, or Tech. A Tech can't see your money pages. Those limits are enforced by the database itself, not just hidden buttons.

How does the time clock work?

Crew tap to clock in against a job. The timer is stored server-side, so it survives a dead phone. Hours flow into Payroll and export as a CSV your bookkeeper will accept.

Is the AI reading my books?

Only when you ask it to. Every ✦ feature runs when you press the button — never in the background. It uses your own prices and the company knowledge you write in Settings, so it answers like your business. Every action it takes is logged, and nothing is saved without you confirming it.

Does it work on my phone? What about no signal?

Yes — it's built for a phone in a truck. It needs a connection to save, so in a dead zone wait until you have signal before entering the day's work.

Is there a free trial? What happens when it ends?

30 days free, card required to start. Cancel any time before day 30 and you're not charged. When the trial ends your plan starts and your books carry over untouched.

Contracts or cancellation fees?

Neither. Month-to-month, cancel whenever. Cancelling stops the next renewal — you keep access through the period you already paid for, and you can export everything on the way out.

Who owns my data, and can I get it out?

You do. Settings → Integrations & data → Download a full backup downloads your complete records any time — clients, quotes, invoices, jobs, time. No hostage-taking.

I found a bug / I want a feature.

Tell us bluntly — that feedback genuinely sets the roadmap. For a bug, say what you tapped and what happened; a screenshot helps most. We'll confirm we can reproduce it and tell you when it's fixed.

How do I delete my account?

You do it yourself — no email to us, no waiting.

Just your own login: account menu (your initials, top right) → Delete my login. Works for any role. The company keeps its books; your hours and pay records stay with the business. Getting back in means the owner re-invites you.

The whole account (owners only): Settings → Integrations & data → Close this account. Download a full backup first — the app won't let you past step 1 until you have, because after 30 days that file is the only copy left.

What happens: the subscription is cancelled immediately (no unused days back), everything freezes read-only, and nothing is deleted for 30 days. Sign in any time in those 30 days and choose Keep my account to stop it — that unfreezes the books, though you'd pick a plan again. After 30 days it's erased for good and we cannot get it back.

Two things survive on purpose: a minimal billing record of what we charged (tax law), and anyone who unsubscribed or replied STOP stays suppressed forever so they can't be contacted again.

If the owner is the only one who can close it and there are other logins, we block it until those are removed — one person shouldn't be able to wipe out everyone else's access silently.

How does the AI receptionist work, and how do I set it up?

It answers your business phone when you can't, takes the caller's name, number and what they need, and texts you a summary — so a missed call stops being a lost job. Two rules never move, whatever the caller says: it never quotes a price it worked out (you can give it one sentence to read back word-for-word, or it says the owner will confirm), and it never confirms a booking — everything lands as a request you approve.

Setup, in order:

1. Follow Set up. Open Receptionist in the menu (under Grow, below Trades) — a guided setup asks the first question that matters: a new business number, or keep the one you already have? Both are first-class choices. On the new-number path, pick local (reads like a neighbour) or toll-free (reads like a bigger outfit) → Find numbers → tap one to claim it. One number is included with every paid plan. It works immediately — no carrier paperwork for calls. 2. Pick when it answers. *Only when you can't get to it* (rings your phone first — the default, loses no calls), *evenings and weekends* (your working hours decide), or *every call*. 3. Make it yours. Tone, a name for it, a voice you can listen to before choosing, how fast it talks, what it may do (take details / answer questions / offer a day from your calendar), your one price sentence, when it hands callers to a human and at what number, your voicemail message. 4. Call your own number and listen. Thirty seconds tells you more than any settings page. Ask it "how much?" — hearing it decline politely is how you learn to trust it.

What each call becomes: a call record with the transcript and a plain-English summary, a request in your inbox when they wanted work, and a text to whoever you named. Voicemail is the floor under everything — out of minutes or any hiccup means the caller leaves a message that gets transcribed, never a dropped call.

Minutes: Solo 15 / Crew 30 / Company 60 per month included. Buy more any time on the same page — 100 for $30, 250 for $70, or 500 for $125 (that one works out to 25¢ a minute). When they run out, calls go to voicemail instead of quietly billing you.

Recording is your choice per crew. With it on, the greeting tells the caller — that announcement isn't optional, because several states make undisclosed recording a crime, not a fine. Off means we keep the written transcript only.

Can it answer my existing number (Verizon, T-Mobile, AT&T…)?

Yes — and the Set up guide on the Receptionist page walks you through exactly this, showing the precise codes to dial with your numbers already filled in. Underneath: you forward your existing number to your Crewplate number. No porting, no carrier change, your number stays yours, and you can switch it off any time from your own phone.

On most US carriers, from the phone that has the number:

- *72 + your Crewplate number = forward all calls - *71 + your Crewplate number = forward only calls you don't answer

One rule matters, so follow it exactly: if you used *71 (forward when unanswered), set the receptionist to Every call. Your phone already rang before the call reached us — that was the *71 doing its job — so "ring my phone first" would just ring you a second time. If you used *72 (forward everything), "ring my phone first" is fine, as long as the phone it rings is a different line, like your cell.

If that's set wrong, don't worry about a runaway: the system detects a call bouncing between your phone and ours and sends it straight to the AI instead of letting it circle. You lose nothing but the second ring.

To undo forwarding later: *73 on most carriers, or your carrier's app.
